The Role
A&M is rapidly growing in the Middle East and seeking to hire an organised and enthusiastic Receptionist & Executive Assistant to be based in our new Riyadh office. We are looking for someone to assist with the Front of House and to support the Managing Directors with their diaries, timesheets, and expenses as well as day to day office administration within our fast paced, dynamic office in King Abdullah Financial District in Riyadh.
This is a fantastic job for someone who is hands on and likes a busy, rewarding and challenging role, in a fun and friendly environment. The successful candidate will embrace a can-do attitude, team spirit and more importantly is happy to get involved and roll up their sleeves. We are looking for someone who remains calm, on top of their workload, and always enjoys working in a team environment. This is not a straightforward 9-6 role and you must be versatile and willing to be flexible. The role requires someone who is proactive, extremely personable, friendly and confident.
You will be an integral part of the Middle East Operations team reporting into the Operations Manager in Riyadh and work closely with the wider Operations team. This is an exciting opportunity for a someone looking to step up to the fast-growing region and work with more than 120 talented colleagues across the UAE and Saudi Arabia.
The ideal candidate will ideally have prior experience within the professional services industry and is looking for a challenging role in a dynamic, entrepreneurial and highly professional company. The right candidate will have experience supporting senior executives, excellent communications and organisation skills, attention to detail and be used to working under pressure.
Key Responsibilities
Reception and administration:
Reception cover
Taking ownership and pride in providing a professional Front of House service
Managing a busy switchboard, screening and redirecting external calls
Answering all calls and ‘at the desk’ queries in a professional and timely way
Greeting all A&M visitors, showing them to their meeting room and providing refreshments
Booking meeting rooms
Ordering, setting-up and cleaning-up of catering
Scheduling and coordinating virtual and in-person internal and external meetings, workshops, lunches and office events
Scanning, binding and printing
Processing all office-related invoices and following up on payments
Post handling
Assisting and supporting onboarding new joiners, for example: ordering access cards, sim-cards and equipment
Checking and liaising with IT as necessary to ensure all meeting room technology (telephones, screens, video conference) is up and running every morning
Work closely alongside the Operations Manager to assist with office administration and HR requirements
Ad-hoc projects
Executive Assistant:
Monitoring emails and responding on behalf of Managing Directors
Preparing minutes in meetings and following up on actions
Coordinating travel plans and itineraries
Contributing in internal meetings
Setting up conference calls
Maintaining and coordinating calendars
Maintaining team holiday calendar
Manage confidential information
Compilating of expenses on Concur
Timesheet management
Archiving – client confidentiality
Providing support for other EAs when required
Collaborate with other EAs across A&M and the wider corporate support teams, including HR, Facilities, Finance and IT to ensure a smooth running of the team
Act as a main point of contact for your team
The Requirements
We are looking for people who have:
KSA Nationality
Arabic language skills are essential
Relevant experience in administration and/or EA/PA type of roles
Excellent oral and written communication skills
High level of interpersonal skills to handle sensitive and confidential information at maximum discretion
Ability to interact and communicate with people at all levels of the organization
Ability to multi-task in a fast-paced environment; constantly prioritise/ reassess tasks
Proficient IT skills with a variety of computer software applications in word processing, spreadsheets, database and presentation software specifically, MS Word, Excel, PowerPoint, Outlook and various other internet applications
Strong organisational skills and good attention to detail
Ability to work independently and within a team
Ability to be pro-active and involved in executive business dealings
