Our German Office is rapidly growing and therefore we are looking for an Executive Assistant (m/f/d) to join our Corporate Transformation Services (CTS) team; someone who has demonstrated strong administrative skills, enjoys helping others, takes ownership of their work, is solution orientated and strives working with an ever-changing, international environment.

The right candidate (m/f/d) will have experience in dealing with busy professionals working across Europe with tight deadlines; being one step ahead of their team’s needs and understanding the importance of building relationships with clients and their teams. The role requires someone who is personable, friendly, flexible and confident.

Responsibilities include but not limited to:

  • Supporting the Managing Directors & Senior Directors within our CTS team to optimize their schedules, correspondence, and workflow
  • Facilitate internal communications, such as scheduling meetings and events
  • Setting up projects
  • Processing of incoming invoices and raising client invoices
  • Preparing time and expense reports
  • Coordinating travel plans, hotels and car service
  • Act as a support to HR in onboarding, and act as first point of contact for new joiners
  • Using Salesforce to track and monitor marketing activities

Essential requirements:

  • At least 4 years of working experience in a comparable position
  • High level of interpersonal skills to handle sensitive and confidential information
  • Experience working with senior clients
  • Excellent communication and interpersonal skills, with the ability to interact with all levels of the organisation (written and verbal)
  • Strong analytical and problem-solving skills, with the ability to adapt to a dynamic work environment
  • Ability to manage multiple priorities and deadlines effectively with excellent attention to detail
  • Work independently and within a team
  • Be pro-active and involved in executive business dealings
  • Build a network (internal and external)
  • Excellent oral and written communication skills, fluent in German and English
  • Proficient in MS-Office
  • Service-oriented
  • Detail-oriented organizational talent
