Today, with significant ambition to build on the successes in the European market, our Paris office is looking to hire an outstanding Executive Assistant, someone who remains calm, on top of their work load, and has the ability to multitask.
The ideal candidate will be looking for a challenging role in a dynamic, entrepreneurial and highly professional company and will have experience in dealing with tight deadlines; extensive diary management and understands the importance of building relationships with clients and their teams.
The opportunity will provide career growth and development while reporting into different Business Manager and working closely alongside the Office Manager.
Main tasks :
Scheduling meetings while maintaining and coordinating calendars
Using Salesforce.com to track and monitor marketing activities (enter contacts, meetings, leads and prospects)
Preparing time and expense reports
Coordinating travel plans, hotels and car service
Managing the invoicing process, setting up project codes (research for conflict checks and AMLs)
Creating and amending documents in PowerPoint, Excel and Word
Supporting the team on adhoc requests
Assisting with the printing and binding of documents for client meetings
New team member’s onboarding
Essential requirements:
Must have high level of interpersonal skills to handle sensitive and confidential information at maximum discretion
Must be able to interact and communicate with all levels of the organization
Ability to multi-task in a fast paced environment
Excellent oral and written communication skills in French and English
Must be familiar with Microsoft Pack Office
Must be organized and detail oriented
Ability to work independently and within a team
Ability to prioritize requests
Must be solution solving oriented
Experience in professional services (advantageous)
