What you will do

You will be responsible for providing secretarial support to Managing Directors (MDs) assigned to you as well as providing general office support. The successful incumbent must be able to work independently, under tight deadlines and handle a wide variety of administrative matters. In addition, your responsibilities include:

Key Responsibilities

  • Organize and coordinate our MDs’ complex calendars with efficiency;
  • Arrange and coordinate travel arrangements, including visa, flights and accommodations, ensuring compliance with the latest travel protocols;
  • Coordinate internal and external team meetings, both onsite and via online;
  • Submit expense claims via our claim system in a timely manner;
  • Maintain database of our MDs’ contacts such as the scanning/ entering details of business cards, and keeping contacts up to date;
  • Collaborate closely with other Executive Assistants in the region, including providing support during periods of absence;
  • Assist in day-to-day general office administration work, including receiving incoming and outgoing mails (mailbox) and parcels, courier and dispatch arrangement.
  • Any other administrative support as required.

Qualifications and Experience:

  • Diploma with at least 3 years of relevant experience in a similar role.
  • Meticulous, independent and able to multi-task with strong organizational and time-management skills.
  • Team player with a will-do and can-do disposition.
