We are seeking a detail-oriented and proactive Operations Support Staff member to join our Global Enterprise Shared Services (GESS) team. This role will provide critical operational and administrative support to the Global Enterprise Shared Services Leaders, ensuring seamless execution of initiatives, day-to-day operations, and strategic goals.


Key Responsibilities - 

1. Administrative Support:

  • Prepare and organize materials for meetings, including presentations, agendas, and reports.
  • Act as a point of contact and liaison between the leader and internal/external stakeholders

2. Operational Coordination:

  • Assist in tracking and reporting on key performance metrics for shared services operations.
  • Coordinate cross-functional projects and ensure timely follow-up on deliverables.
  • Support the development and implementation of standard operating procedures

3. Communication:

  • Draft, proofread, and distribute communications on behalf of the leader.
  • Ensure timely and accurate communication of updates, initiatives, and announcements to relevant stakeholders.

4. Data and Reporting:

  • Collect, consolidate, and analyze data to support decision-making processes.
  • Prepare regular and ad-hoc reports to provide insights into operational efficiency and performance.

5. Event Coordination:

  • Organize team meetings, workshops, and offsite events, including logistics and materials preparation.
  • Manage vendor relationships for services supporting operational needs

6. Other Responsibilities:

  • Support budgeting and expense tracking.
  • Identify opportunities for process improvement and operational efficiency.

Qualifications - 

  • Bachelor’s degree in business administration, Operations Management, or a related field.
  • 3+ years of experience in an administrative, operations, or project coordination role, preferably in a global or shared services environment.
  • Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word) and collaboration tools (e.g., Teams, SharePoint).
  • Strong organizational, communication, and problem-solving skills.
  • Ability to manage multiple priorities and work effectively in a fast-paced, dynamic environment.

Preferred Skills -

  • Experience in a consulting or professional services firm.
  • Familiarity with shared services operations and performance metrics.
  • Analytical skills
