Position Overview
A&M’s Calgary office is seeking a dynamic Office Manager to support three Managing Directors while overseeing day-to-day office operations. The ideal candidate will have experience handling a wide range of administrative and executive support tasks and should be able to work independently with strong attention to detail. This is an in-office position, five days a week.

Responsibilities

  • Manage and maintain schedules, appointments, and travel arrangements.
  • Oversee calendar management for executives.
  • Handle all office supply orders, ensuring the lunchroom and supplies are stocked and maintained
  • Process and submit invoices for payment.
  • Prepare and process time and expense reports.
  • Draft, edit, format correspondences, presentations, and other documents.
  • Manage the front desk, greet clients, and answer phone calls.
  • Assist with copying sensitive files, document binding, and project-specific tasks.
  • Coordinate conference room scheduling and catering orders.
  • Distribute meeting materials as needed.
  • Plan, coordinate, and execute special projects and events.
  • Arrange additional logistics, such as lunch reservations, on a case-by-case basis.

Qualifications

  • Minimum 2 years of administrative assistant experience.
  • Bachelor’s degree or college diploma preferred.
  • Outstanding customer service and interpersonal skills; ability to support multiple executives with varied working styles.
  • Strong relationship management skills and the ability to build a personal network as a trusted team member.
  • Excellent oral and written communication skills, with the ability to interact effectively with senior leaders and external partners.
  • Ability to ensure clear, thorough, and specific communication with attention to follow-through and confidentiality.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams), Salesforce, Concur, and file-sharing software (e.g., Box).
  • Strong attention to detail, organization, and process execution; ability to consistently produce error-free work.
  • Excellent problem-solving skills.
  • Self-motivated, tactful, and a collaborative team player.
  • Professional image and demeanor.
  • Experience in project coordination and management at an intermediate level of complexity.
  • Proven ability to manage multiple projects, work under pressure with minimal supervision, and consistently meet deadlines.
  • Demonstrated ability and willingness to acquire new competencies and take on new challenges.
