Overview of the Role:

We are seeking a highly organized and proactive Office Assistant to support the smooth operation of our fast-paced Madrid office. This role will work closely with the Country Operations Manager to handle a variety of administrative tasks and office support duties. The successful candidate will bring a positive attitude, attention to detail, and the ability to multitask in a dynamic environment.

Responsibilities:

Collaborating closely with the Country Operations Manager on daily administrative tasks and ad hoc projects, including but not limited to:

  • Maintaining communal areas of the office.
  • Ensure meeting room facilities and equipment are in good working order.
  • Monitoring meeting room bookings and ensuring rooms are kept tidy and well stocked.
  • Setting up rooms for meetings and organising catering where required.
  • Greeting guests and offering refreshments.
  • Clearing and re-setting rooms after meetings.
  • Reception cover when required.
  • Monitoring, ordering, and putting away stationery, kitchen supplies and IT equipment.
  • Assisting the Real Estate team as and when issues arise.
  • Dealing with general queries from your team on office related matters and liaising with internal teams and external vendors to resolve issues.
  • Answering general queries, arranging desks for visitors, booking meeting rooms, requests for directions to office etc.
  • Where required, assisting in organising team socials and office parties.
  • Assisting with processing all office related vendor invoices on Agresso in a timely manner.
  • Dealing with any queries relating to invoices and payments.
  • Coordinating with internal teams (HR, IT, Finance etc.) to support onboarding of new joiners.
  • Supporting with Health & Safety actions.
  • Supporting ad hoc projects and administrative initiatives as required.

Requirements:

  • Relevant experience, preferably in a professional services environment. 
  • Strong communication skills, with the confidence to interact with colleagues and vendors at all levels.
  • Maintain a high level of professionalism in all interactions. 
  • Excellent attention to detail and ability to maintain accurate records.
  • Strong time management, organisation, and prioritisation skills. 
  • Ability to multi-task in a fast-paced environment, using flexible mindset to shift priorities. 
  • Proficient in a variety of computer software applications including Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). 
  • Strong interpersonal and relationship-building skills.  
  • A proactive, \can-do\ attitude and the willingness to take on a variety of tasks.
  • Ability to work independently while contributing as a key member of the team.
