Hours:                                        Monday-Friday 9am-6pm

Overview of the Role

We are looking for a high-energy and polished Receptionist, who has a passion for client services and is happy to take initiative and think on their feet. This role requires flexibility, energy, the ability to multi-task, prioritise and be aware at all times that A&M’s reception is the heart of the office. A professional appearance is required at all times. The successful candidate will embrace a can-do attitude, team spirit and more importantly is happy to get involved and roll up their sleeves.

Responsibilities

  • Taking ownership and pride in providing a professional Front of House service
  • Answering all calls and ‘at the desk’ queries in a professional and timely way
  • Greeting all A&M visitors, showing them to their room and providing refreshments.
  • Being the first point of contact for the main building reception, representing A&M within the building
  • Managing all client meeting rooms ensuring that they are always maintained to a high standard
  • Liaising with the relevant teams to coordinate office activities, such as controlling the office temperature, booking couriers and organising all incoming and outgoing post and escalating any issues to the Office Manager
  • Ordering passes for new hires and managing the visitor passes
  • Creating new hire welcome packs
  • Maintaining levels and ordering consumables for the pantry
  • Maintaing stationery levels and reordering as required, including branded materials
  • Ordering the catering for events held in the office
  • Checking and liaising with IT as necessary to remedy technology faults and ensure that the telephones and TV screens in each meeting room are in full working order
  • Organising office maintenance
  • Supporting administrative functions including loading invoices and obtaining cost centre allocations
  • Handling petty cash, reconciliation and allocations
  • Local vendor management and negotiation activities
  • Ad-hoc requests to support the local operations and practice teams.

Requirements

  • Relevant experience, preferably in a professional services environment
  • Excellent communications skills, with the ability to present a friendly and open style
  • Maintain a high level of professionalism in all interactions
  • Strong time management, organisation, and prioritisation skills
  • An obvious passion for client service
  • Ability to multi-task in a fast-paced environment, using flexible mindset to shift priorities
  • Enthusiasm and sensitivity to others, you will enjoy being part of a close working team
  • Proficient in a variety of computer software applications including Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Strong interpersonal and relationship-building skills.
