About the Role

We are seeking an organized and enthusiastic Team Assistant to support our fast-paced and dynamic team. The ideal candidate will be proactive, detail-oriented, and eager to contribute to the team’s success. A can-do attitude, strong team spirit, and willingness to take on varied tasks are essential for this role.

Key Responsibilities

Supporting the Executive Assistant (EA) team with:

  • Managing emails and calendars.
  • Booking meetings, venues, flights, and hotels.
  • Completing expense reports for Managing Directors (MDs).
  • Submitting weekly timesheets for MDs.

Assisting the wider team with:

  • General office tasks such as filing, printing, binding, scanning, and data entry.
  • Supporting the onboarding process for new staff members.
  • Improving and maintaining storage and retrieval systems.
  • Providing clerical support for ad hoc duties and projects.
  • Covering for EA team members during holidays and absences.
  • Setting up rooms for meetings, arranging catering, and clearing rooms after use.
  • Greeting guests and offering refreshments.
  • Handling video conferencing and audio-visual (AV) equipment, assisting with technical queries.
  • Monitoring and replenishing office supplies as needed.

Requirements

  • Strong listening and communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • High level of professionalism in all interactions.
  • Excellent time management, organization, and prioritization skills.
  • Strong attention to detail.
  • Proactive and eager to learn.
  • Ability to work independently as well as within a team.
  • No previous experience needed.
