We are seeking a Real Estate Project Coordinator & Data Analyst to join our EMEA CRE team. This role is ideal for someone who thrives in a hybrid position, supporting real estate projects while also analyzing data to drive decision-making and optimize performance. The position is split equally between hands-on construction project support and data analytics and reporting.

Responsibilities:

Construction Project Support (50%)

  • Assist with the planning, execution, and monitoring of real estate projects across the EMEA region.
  • Track project costs, budgets vs. actuals, including invoice auditing and processing.
  • Maintain and organize project documentation within shared systems (e.g., Box).
  • Provide on-site coordination and logistics for office fit-outs, renovations, and relocations.
  • Support the preparation of meeting agendas, minutes, and construction updates.
  • Oversee project close-out tasks, including documentation and final reporting by trade and location.
  • Coordinate with vendors, contractors, and internal stakeholders to ensure timelines and deliverables are met.
  • Support lease-related tasks including event tracking and office opening requirements.

Data Analytics & Reporting (50%)

  • Design, maintain, and enhance dashboards for project performance, space utilization, and cost metrics using tools such as Power BI and Excel.
  • Build and track KPI dashboards across EMEA real estate operations (construction, occupancy, budgets).
  • Maintain and analyze historical project data to identify trends and support decision-making.
  • Manage the integrity of real estate systems including space management and premises access control.
  • Produce ad-hoc reports, analytics, and visualizations to support budget planning, space allocation, and security operations.
  • Assist with system implementation projects (e.g., Nuvolo for allocations and budgeting).
  • Own data governance tasks, including regular updates to system records, lease timelines, and contact directories.
  • Document processes and develop global workflow guides for CRE team functions.

Requirements:

  • Prior experience in project coordination, construction, or office/facility management is preferred.
  • Strong proficiency in Microsoft Excel, Power BI, Outlook, Word, and PowerPoint; experience with project management tools is a plus.
  • Demonstrated ability to analyze, interpret, and present data in a clear and actionable format.
  • Strong written and verbal communication skills.
  • Highly organized with excellent attention to detail.
  • Effective multitasker able to manage deadlines and shifting priorities.
  • Collaborative team player with a proactive and solutions-oriented mindset.
  • Experience working with process mapping or system implementation is a plus.
