The Team

A&M’s Toronto Office is seeking a receptionist to join their growing office. This role requires flexibility, energy, and the ability to prioritize and multitask. A professional appearance is required at all times. This role is pivotal in assisting with daily operations for each team and requires an on-site schedule of five days per week in the Toronto office.

How you will contribute

  • Answer, screen, and forward incoming phone calls while providing basic information when needed.
  • Greet, welcome, direct, and announce visitors appropriately.
  • Maintain the reception area to ensure a professional work environment.
  • Manage internal safety and security programs by issuing visitor and employee badges and maintaining security logs and spreadsheets.
  • Handle ad-hoc requests and provide seamless assistance with expense submissions for 2-3 Managing Directors.
  • Assist with the onboarding process for new hires
  • Perform administrative duties as required, such as managing catering orders and deliveries, coordinating conference rooms, maintaining courier and shipping logs, updating documents, and submitting service requests to building management and other providers.
  • Oversee office supply inventory, ensuring essentials like printer paper and toner are always available
  • Manage and replenish kitchen and pantry supplies to keep the office well-stocked.
  • Maintain a clean and organized kitchen and lunchroom, including running/unloading the dishwasher and restocking the fridge.
  • Maintain professional interactions with all internal and external sources, often at upper and executive management levels.

Qualifications

  • At least two years of office administration or receptionist experience.
  • Outstanding customer service and interpersonal skills.
  • Highly organized and detail-oriented with excellent follow-through.
  • Strong problem-solving skills.
  • Ability to effectively interact with clients and employees.
  • Proficiency in Microsoft Office Suite.
