How you will contribute

A&M’s A&MPLIFY team is seeking a part-time Executive Assistant (EA) for a 6-month contract to support 4-5 Managing Directors. The ideal candidate will have experience handling a wide range of administrative and executive support tasks and should be able to work independently with strong attention to detail. This role is primarily remote, but the candidate must be based in either the Washington, DC-Baltimore area or the New York City Metropolitan area, and be willing to go into the local office as needed. While most of our Managing Directors are on the East Coast, a few are on the West Coast, so flexibility with working hours to accommodate different time zones is required. The position will involve approximately 20 hours per week, with some fluctuation based on business needs.

The Part Time Executive Assistant will:

  • Create Expense Reports – using Concur
  • Reconcile American Express and Corporate Manager’s Credit Cards for Business Use/Expenses.
  • Entering and allocating weekly time into time system
  • Book Conference Rooms
  • Coordinate and schedule domestic as well as international travel; Make travel and accommodation arrangements.
  • Make reservations for meetings with Clients or for Internal Staff Development
  • Mail, Fed-Ex Packages, Parcels
  • Coordinate Executives’ calendars and set up meetings as needed

Specialized Responsibilities:

  • Concur Billing/Expenses
  • Timesheets utilizing Agresso
  • Client Invoicing   
  • Event Management  
  • Assist with all internal platforms

Qualifications

  • 3+ years of Executive Assistant experience in a large organization; consulting environment preferred
  • Concur experience required
  • Ability to manage workday and daily activities within a set number of hours as directed by Operations Leader
  • Adept with software systems, including Microsoft Office, spreadsheets, expenses, and internal timekeeping and recordkeeping systems
  • Expert oral and written communication skills
  • Strong organizational experience; accustomed to operating in an agile environment
  • Solid ability to work with minimal supervision and guidance
  • Comfortable with working with professionals of all levels

The hourly rate is $41 per hour.
