We are seeking a highly organized and detail-oriented Administrative Assistant to provide comprehensive administrative support to our Managing Directors and Senior Directors at our dynamic financial services consulting firm. The ideal candidate will be proactive, possess strong organizational skills, and have a demonstrated ability to handle multiple priorities efficiently.

Key Responsibilities:

  • Coordinate and arrange all aspects of business travel, including flights, accommodations, and ground transportation.

  • Prepare, submit, and track expense reports in a timely and accurate manner.

  • Manage and organize the Managing Director’s calendar, ensuring schedules are followed and priorities are met.

  • Collaborate with staff to ensure the team is informed of upcoming commitments and responsibilities, following up as necessary.

  • Schedule and coordinate meetings, conference calls, and departmental activities.

  • Provide general administrative support, including document preparation, copying sensitive files, binding, answering phone calls, and assisting with project-related tasks.

  • Support Business Development initiatives, including maintaining Salesforce and tracking executives' activities.

  • Greet clients and visitors to the office, providing a professional and welcoming atmosphere.

  • Assist with department-specific projects and activities as needed, performing additional work-related duties as assigned.

Qualifications:

  • Bachelor’s degree in a relevant field (Business Administration, Finance, or similar).

  • 4 years of experience as an Executive Administrative Associate or Executive Assistant, preferably in a consulting or financial services environment.

  • Proficiency with Microsoft Office Suite (Word, Outlook, Excel, PowerPoint).

  • Strong desire to learn new skills and develop professionally.

  • Excellent verbal and written communication skills.

  • Impeccable attention to detail with strong follow-up and self-review capabilities.

  • Demonstrated ownership and accuracy in all work products.

  • Excellent time management skills with the ability to meet deadlines and manage competing priorities in a fast-paced environment.

  • A proactive self-starter with the ability to multi-task and support multiple executives with varied personalities.

  • Comfort working independently, as well as in a team-oriented, collaborative environment.

  • Ability to interact professionally with clients and staff at all levels within the organization.

  • Positive attitude, openness to feedback, and eagerness for personal and professional growth.

  • Flexibility to work beyond regular hours as required, including evening and weekend availability for calls or urgent matters.

  • Intermediate to advanced level of English proficiency.
